Item 60. Minutes from the December 16, 1998 Board of Directors meeting Scott Helmke (scott) Thu, Dec 17, 1998 (15:40). 92 lines, 3 responses. Minutes from the December 16, 1998 Board of Directors meeting In attendance: Scott Helmke (scott, Secretary), Jan Wolter (janc, President), Valerie Mates (valerie), Mark Conger (aruba, Treasurer), Arlo Mates (arlo), Charles Mitchell (arthurp), Misti Tucker (mta, Board), Jim Deigert (jdeigert), Sindi Keesan (keesan), Dan Gryniewicz (dang, Board), Steve Gibbard (scg, Board) Black Initial Gavel Pounding - janc The meeting was gavelled to order at 7:38 pm Brown Treasurer's Report - aruba Nov. down $175, Dec. doing better, phone bill now lower from cutting lines. Bank account has been moved to Great Lakes, old account closed. Some discussion of money market funds, needs more investigation. Mark and Jan went to see a person at Accounting Aid Society (see Coop item 18), got some decent advice even though Grex is not their typical client. Some question about whether Grex needs to send paper receipts for all donations. Send receipt if donation above $xx? On demand? aruba moves the following: Cyberspace Communications policy for paper receipts is that the Treasurer will send out paper receipts at the end of the year to anyone who donates greater than or equal to $75, or if requested. Seconded by Valerie. Vote is 7-0-0, motion passes. Still working on getting Ameritech to recognize exemption from state taxes on phone lines. We apparently need to get a license to solicit donations in Michigan (AAS says this). Mark has forms, which are complicated. P.O. box price will go up slightly. Might be convenient to move to Stadium Blvd. Post Office. Auction items are now being entered again. Red Publicity Committee - mta Our splash screen is now back on ITN, after it got accidentally removed. Arborweb is still displaying Grex ad. December issue of Observer has an article on Grex and M-net. Orange Technical Committee - staff 2 different sources are donating Sun parts we can use as spares/extras! We will be paying some shipping charges, but this beats buying spares outright. Question: what to do with money donated specifically for spare parts? Needs a Coop item to discuss. We now have a UPS account to handle the shipping of some of the donated hardware. Backups have been done. We had some bad tapes preventing successful backups. Yellow Election Results - all janc, remmers, steve will be on Board for 1999-2001. Green Blocking Other Systems - all This is to discuss the site blocking of IIT, and how to deal with such situations in future. Valerie gave a quick summary of the events (available in another item here in Coop) Future? Maybe send mail before cutting off site, to users who could talk to their admins. One big problem we had was getting hold of their administrators. Board basically happy with the way this was handled. Blue New Business - all General congratulations to Jan and Valerie and Arlo! Valerie congratulates all who ran in election. Aruba thanks scg and Valerie (both leaving the Board at the end of this year) for their years on Board. Treasurer requests a filing cabinet for Grex files, and also a rubber stamp for the bank account. Valerie moves that Board authorize the Treasurer to purchase a rubber stamp for the new bank account. Seconded by Misti, 7-0-0, motion is passed. Violet Final Gavel Pounding - janc? meeting closed at 8:50 pm 3 responses total. ---------- (60) #1 David Cahill (dpc) Thu, Dec 17, 1998 (19:46). 2 lines. So what about the Treasurer's overflowing files? Minor nit- in the list of people at the beginning, valerie should be listed as (Board). ---------- (60) #2 Mark A. Conger (aruba) Fri, Dec 18, 1998 (00:26). 4 lines. I didn't actually request that the Board allocate money for a file cabinet, which is why we didn't vote on it. Partly because I'm not sure exactly what I want. Sindi said that there are som file cabinets at Kiwanis in the $10 range. ---------- (60) #3 Valerie Mates (valerie) Fri, Jan 1, 1999 (23:06). 7 lines. Re 1 & 2: In fact, I think Sindi or Jim offered to donate a file cabinet. In "New Business" I thanked everybody who ran, congratulated the people who were elected, and thanked everybody who had served on the board this past year. In "Election Results", the people were elected for 1999-2000, not -2001.
